About this policy

Matthew Eden, trading as Eden Psychological Services, is committed to handling personal and health information respectfully and carefully. This policy explains how the practice collects, holds, uses and discloses information and how you may request access, correction or make a privacy complaint.

Information collected

Depending on the circumstances, information may include contact and identity details; parent, guardian or authorised-representative details; health and referral information; clinical records; appointment, billing and funding information; and communications relevant to providing services.

How information is collected and used

Information may be collected directly from a client, parent or guardian, authorised representative, referring practitioner, funder or insurer where authorised or otherwise permitted by law. It may also be collected in consultations, by telephone or through practice-management systems. It may be used to assess enquiries, determine suitability, provide psychological services, manage appointments, administer funding and payments, maintain records, communicate with clients and meet legal, regulatory and professional obligations.

Website, cookies and ordinary email

Squarespace hosts this website. Website settings and third-party connections may change and are reviewed as the site develops. Do not send urgent matters or detailed sensitive health, identifying or funding information through ordinary email.

Ordinary email is not appropriate for detailed sensitive health, identifying or funding information.

Disclosure and confidentiality

Information is disclosed only with consent or where otherwise required or authorised by law, including where necessary to address a serious threat to life, health or safety. Communication with a referring practitioner is subject to consent and applicable funding or Medicare requirements. Eden does not sell identifiable personal or health information.

Practice systems and AI-assisted notes

Halaxy, NovoNote and NovoPsych may be used for practice administration, clinical notes and selected psychological measures where configured and appropriate for Eden. The relevant provider privacy information should be reviewed alongside this policy.

Where AI-assisted note-taking is used and separately consented to, it may help prepare or organise clinical notes. It does not replace Matthew’s clinical judgement, review or responsibility. AI-assisted note-taking is optional, and psychological services can be provided without agreeing to it.

Security and retention

Records are primarily stored electronically. Reasonable administrative, physical and technical safeguards are used to protect information from misuse, loss and unauthorised access, modification or disclosure. Records are retained for the periods required by law and professional obligations, then securely destroyed or de-identified where lawful.

Access and correction

You may request access to personal or health information held about you or ask for inaccurate, incomplete or outdated information to be corrected by contacting referrals@edenpsych.com.au. Matthew will usually discuss the request to understand and work through it, then arrange access or correction in accordance with applicable privacy obligations. Access is not an automatic release of an entire file, and lawful exceptions may apply.

Privacy questions and complaints

Privacy questions or complaints may be directed to referrals@edenpsych.com.au. Concerns are considered carefully and responded to as appropriately as possible. If you remain concerned, you may contact the Office of the Australian Information Commissioner or the Victorian Health Complaints Commissioner.

Changes to this policy

This policy may be updated when Eden’s services, systems or legal obligations change. The current version will be published on this page with its latest update date.
